Privacy Statement

The privacy and security of client information is of paramount importance to Intuitive Solutions Limited. The following statement explains our privacy practices with regard to information collected or held within the MyOffice web hosted service.

Intuitive Solutions Limited reserves the right to change this policy at any time.

General Data Protection Regulation (GDPR)

The onus for compliance with GDPR is on individual companies. It requires them to take a reasonable level of protection for personal data.

Whilst MyOffice is registered with the Information Commissioner's Office (Data Protection) and is compliant with GDPR, it doesn't absolve MyOffice customers from the need to comply with GDPR.

In GDPR terms, MyOffice is a limited 'processor' of your data, i.e. MyOffice stores your data. Our primary responsibility relating to GDPR is the security of your data. MyOffice doesn't access any of your data in your account unless you ask us to for support reasons. Your data is private to you.

The MyOffice Servers are located in the UK and are hosted at a secure location. Your data is mirrored both locally and 'off site'. The servers are protected by multiple firewall appliances with dedicated security processors designed to provide maximum intrusion protection. All data is encrypted during transmission using the latest tls security protocol. We constantly monitor and review our security arrangements to ensure that the privacy and integrity of your data is never compromised.

The only personal data we keep as 'controllers' is related to your account i.e. your name, address, tel no, email address. We never see credit card details because we use Stripe card processing.

You are a 'controller' and are also responsible for the security of the data you enter. For users of MyOffice this requires the use of proper passwords which are regularly changed, ensuring that only authorised individuals have access to your account data.

GDPR now makes you responsible for the new rights of your customers i.e. The right to be informed, of access, to rectification, to erasure, to restrict processing, to data portability, to object and how you use the data you collect in your business for decision making and profiling. Therefore, you might be asked to delete all records of a customer or you might be asked to reveal if you have any info about an individual.

Information Collected

MyOffice collects information from you when you sign up for a free trial. We ask you to provide an account name, username, and password and optionally, your full name and email address. This will be used to validate any request for forgotten logon details and send you tips and suggestions throughtout the trial period. Logon details will only be sent to the email address held in your account.

MyOffice collects further information from you when you subscribe and each time you renew your subscription, and whenever you phone or email us. e.g. for Support

Only your Account Manager at MyOffice has access to this information.

Your personal data includes information such as:

  • First & Last Names
  • Company Name
  • Address
  • Telephone numbers
  • Email addresses
  • Subscription History
  • Email Correspondence
  • Phone Call logs (date/time & content of call)

NB: We do NOT store your credit card details

Use of Information

We only use registration information to maintain and support your account.

We do not use your information for any other purpose. We do not profile your account, send you information on products and services, or deliver advertisements to you.

We do not pass your information on to any third party.

Account Closure and Data Updating, Correction and Deletion

You may request to close your account at any time. You may also request that your personal data be updated, corrected or deleted at any time.

You may request a copy of your personal data in an electronic format. This will be provided within 30 days of the request being received.

After deletion, you will no longer be able to access your account and your account will be unrecoverable.

Cookies

We use cookies to track your browsing behaviour within our web site and to identify the usernames logging on to MyOffice.

Accounts

When you initially sign up we'll create your account and give you Account Administration capability. As Account Administrator you can create and administer users, calendars, contacts, tasks and files.

Security

Information collected by MyOffice is stored in a secure operating environment that is not available to the public.

Your MyOffice account is password protected. In order to log on you must supply a valid account name, username and password. You will be logged on using SSL (secure sockets layer) encryption technology, the industry standard for secure transactions.

All data is encrypted during transmission.

Unfortunately, no data transmission over the internet can be guaranteed 100% secure. Consequently, while we endeavour to protect your data to the best of our ability, Intuitive Solutions Limited cannot ensure or warrant the security of any information you transmit to us, and you do so at your own risk.

IP Address

We only use your IP address to count visits to this site.

Install

When you install MyOffice you install the Microsoft.NET framework and the MyOffice.NET application.

No other software is installed.

MyOffice does not read any files on your machine other than those in the MyOffice folders.

Uninstall

When you uninstall MyOffice, it uninstalls completely.
