Security

The security of your data is of the utmost importance to us. We constantly monitor and review our security arrangements to ensure that the privacy and integrity of your data is never compromised.

Your data is encrypted using Secure Sockets Layer protocol (SSL) during transmission and held on secure servers protected by monitored firewalls. Both the servers and the server disk subsystems are mirrored. Spare backup servers are on standby at a different location. Automatic backups are taken every 2 hours. In short, we recognise how important your data is to you and we take every precaution we can to protect it.

Hosting

The MyOffice Web Servers are hosted by NewNet Plc in the UK.

NewNet has been an Internet Service Provider since 1995 and is established and recognised as the UK market leader in colocation and leased line access with resilient multi-link 1GB networks ensuring unrivalled colocation services for world wide access.

NewNet data centres are equipped to above industry standards, manned 24 hours a day with CCTV surveillance, 24/7 customer access, auxiliary power generators, environmental monitoring, key card and biometric access controls.

Redundancy

The MyOffice service is designed for 24x7 operation. All data is held on a cluster of servers with different accounts being held on different servers. This minimises any disruption that may be caused by a server failure.

All servers are mirrored both in terms of disk drives and power supplies.

Spare backup servers are on permanent standby already configured and ready to replace 'live' servers in the unlikely event of a total server breakdown.

Firewall

The servers are protected by multiple firewall appliances with dedicated security processors designed to provide maximum intrusion protection.

System Security

All servers are regularly monitored for attempted network attacks and contingency plans are in place to deal with any such attacks.

All customer accounts are protected to prevent access by other account holders. Under no circumstances can a customer access another customer's data.

Only a limited number of key MyOffice employees have security clearance to access the production servers to carry out system maintenance and security monitoring.

Data Security

All data is encrypted during transmission between the Client and Server using 128-bit encryption.

An SSL (Secure Socket Layer) connection is used by default when connecting to the server.

PC Back-up

The installed Windows Desktop version stores a local copy of the main data to enable it to run in 'Offline' mode, should the internet go down. This 'Offline Data' is, in effect, another backup copy ... and every PC that logs on has this copy.

System Back-up

Full Automatic backups for every customer are taken every 2 hours and stored on secure servers at an off-site location.

User Access

User access to the system requires a valid account, username and password to be authenticated. Usernames and passwords can be changed at any time.

The Account Administrator controls the user access permissions determining which functions a user can use.

Audit Trail

A complete Audit Trail of all transactions is available, within the application, showing the 'Before' and 'After' status of transactions ... enabling you to see 'at a glance' who did what and when.
