Synchronise with Outlook

You can synchronise Appointments and Contacts with Microsoft Outlook.

The synchronisation process can be configured to:

  • Control the direction of synchronisation - Update Outlook, Read from Outlook or both directions simultaneously

  • Update deletions

  • Handle conflicts - where the same record has been changed in both applications you can specify how you want the synchronisation to handle the conflict.

 

Creating a Partnership

The first time you run the Synchronisation program you will be asked to create a partnership between Outlook and one of the diaries..

You can only form a partnership with one diary at any one time.

The partnership establishes which diary you want to synchronise with. You can change the partnership at any time by clicking the 'Partnership' button in the Synchronisation window, deleting the unwanted partnership and adding a new one.


To synchronise with Outlook:

  • In either the Diaries window or the Contacts window select the Tools > Outlook Sync menu option.

  • In the Outlook Synchronisation window select the items you want to synchronise with.

  • Click one of the Conflict Resolution radio buttons to specify how conflicts are to be resolved.

  • Click the Synchronise button.

 

Using the Advanced button

Use the Advanced button to specify the direction of synchronisation and whether or not deletes are synchronised.

 

Conflict Resolution

If an item has been changed on both systems since the last synchronisation, the synchronisation program needs to know how to handle the conflict.

There are 4 choices:

Leave and report conflicts The conflicting items are not synchronised. They are reported on screen at the end of the synchronisation process.
Use latest changed date The item that was edited last is used as the master and overwrites the earlier item.
Always overwrite the item on MyOffice The MyOffice item is overwritten by the Outlook item.
Always overwrite the item on Outlook The Outlook item is overwritten by the MyOffice item.
