Publishing a MyOffice Diary \ Calendar as a web page
MyOffice allows you to publish your diaries \ calendars on your own web pages using a link that you insert in an appropriate page.
When the link is clicked on another page opens displaying the contents of your diary. You can also include the link in emails.
This can be extremely useful for keeping your customers / members informed of upcoming events.
It is important to remember that publishing a MyOffice diary on the web will make the
contents of that diary readable by anyone who visits the web page on which it is published. It therefore follows that
this functionality should only be used for diaries thats contents are specifically designed for external consumption.
This feature is targeted at those customers who want to publish diaries with the minimum of effort. If you wish to embed diaries / calendars
in your web pages and you have the technical skills to configure the look and feel to match your site then you should read 'How to embed
published diaries'.
The Basics
To access the Diary Publishing functionality, open the main Diary window and select 'Diary Publishing'
from the 'Tools' menu. This will open up the main Diary Publishing dialog. Please note that in order to access
MyOffice Diary Publishing your MyOffice user will require Diary Admin capability. Further details on MyOffice
user administration can be found in the 'How To' section of the website in the Advanced User Admin section.
This dialog shows all the diaries in your MyOffice account. To begin publishing a diary, select the diary you
want to publish in the tree and click the 'Settings' button. This will open up the Diary Publishing details dialog
which allows you to configure certain aspects of the published diaries content and appearance.
Diary Settings
At the very top of this dialog is a checkbox titled 'Publish this Diary on the web'. If this checkbox does not
contain a check, then the diary is not published and cannot be accessed externally. If you place a check in this checkbox
then the diary will be published and will become available for viewing on the web.
Published Diary Appearance
The Diary Publishing dialog is divided into two tabs. The first is the Appearance tab. This controls many
aspects of the layout of the published diary.
Time Zone
The Time Zone dropdown list allows you to select the Time Zone for which to display the diary. For example,
if your diary contains events occuring in Eastern Standard Time, select that Time Zone from the dropdown list
and your appointments will be displayed at their correct date and time
Sort Order
Appointments can be displayed with either the earliest date first, or the latest date first.
Number of days to display
This setting allows you control the range of dates displayed by the published diary. The earliest date in
the range is always todays date, and the latest date is controlled by setting the number of days to be displayed.
For example, if you want your published diary to display a weeks worth of events, this setting would be set to seven.
Group by day
Published diaries can be displayed in one of two main formats - grouped by day, or as a list.
When displayed as a list, appointments are simply listed in start date order. When grouped by day, appointments
are displayed on each of the days on which they appear below a heading showing that days date. For example, if an appointment starts on March 3rd and finishes
on March 5th it will be displayed on March 3rd, March 4th, and March 5th.
Show blank days
When displaying appointments grouped by day, this option allows you to control whether days on which are there
are no appointments are shown.
Show horizontal lines above and under dates
When displaying appointments grouped by day, these options allow you to display a horizontal rule above or below
each day in the diary
Use appointment colours
If this option is selected, the text of each appointment is displayed in the colour as definied in MyOffice.
If no colour is specified in the appointment, appointments will be displayed in the default colour.
Display multiple fields in columns
There are two methods of displaying multiple fields for an appointment - list and column. When displaying as columns
the chosen fields for each appointment are displayed across the page with each field in its own column, just like a spreadsheet.
When fields are displayed as a list, the fields for each appointment are displayed on separate lines.
Date and Time formats
The Date and Time format dropdown lists allow you to select the format in which you would like dates and times to be displayed.
Diary Title
If the 'Show Diary Title' checkbox is checked the title entered in the adjacent textbox will be displayed at the top of your published diary.
Published Diary Fields
The 'Fields' tab allows you to select which fields, including user defined fields, you wish to display in your published diary.
When publishing diaries, you are able to select which appointment fields you wish to appear on your published diary.
To select a field for display, check the checkbox in the 'Publish' column. If you wish to display
the name of the field, check the checkbox in the 'Show Field Name' column. In the case of text fields, you may
wish to restrict the amount of data you display. Should you wish to do this, simply enter the maximum number
of characters to display in the 'Max Length' column.
Displaying your Published Diary
Once you've decided on your display settings (don't worry, you can change them again as many times as you like),
make sure the 'Publish this Diary on the web' checkbox is checked. Then click 'OK'. The word 'Published' will now
appear next to your diaries name in the main Diary Publishing window.
To view your published diary, select the diary
in the tree and click the 'View' button. This will open the webpage on which your diary is published in your
default web browser.
Use the URL as shown in your browser, either as a link on your webpage or to advise your viewers of the url where they can find your diary.
