How to - set up multi-user access
MyOffice is a full interactive online system designed to allow many users to log on at the same time and share data.
It has a record locking strategy whereby the first user to access a record (e.g. Appointment, Contact, Task) locks
that record. Subsequent users only have 'read only' access to the record until the first user has finished using the record.
Each person logging on to MyOffice needs a user logon. These are set up by the Account Administrator ... usually the
person who set up the account in the first place. A typical logon would look like the following:
User Logon window
Lets assume that we have 4 users wishing to log on to MyOffice at the same time. Each user would log on to the account
called 'PaceSetter' using whatever Usernames and Passwords had been set up for them by the Account Administrator.
Setting up User Logons
Only the Account Administrator can set up User logons.
To set up users the Account Administrator would log on to MyOffice and click the
Tools > User Admin menu option.
This opens the 'Users' window. The window will probably already contain some users.
When a 30 day free trial is set up we give the person setting up the trial the opportunity
to name additional users who may want to trial the system. These users will be listed
here.
The above example shows 3 users - Pete Sanderson, who signed up for the 30 day free
trial, and 2 other users that Pete listed during the trial setup process.
To add more users Pete would press the 'New' button. This opens
the User Details window.
Pete can
now enter the username and password for the new user and press the OK button.
The Users window re-displays showing the new user called 'Angela'.
Logging on to MyOffice (each user)
To logon to MyOffice, each user would first download and install the software by going to www.myoffice.net
and clicking on the
'Downloads' link at the top of the web page. Follow the instructions to download and install the Windows Desktop Application.
Once installed, the MyOffice Icon will appear on the Desktop. Double-click the icon to start MyOffice.
In the above example, each user would log on to the account called 'PaceSetter' using the Username and Password that had been set
up for them by the Account Administrator.
